Executive Office Support – One year maternity cover contract

Job Description:

Reporting to the Finance Director the purpose of the role is to assist the Finance Team in the smooth day to day running of the Directors office and assist the Finance and Legal departments when required.

Duties will include:

  • Diary management and arrangement of meetings
  • Message taking and screening of phone calls/emails
  • Dealing with incoming general enquiries both by phone and by email
  • Typing of documents, emails, minutes and presentations
  • Making extensive travel arrangements e.g. booking flights, trains, accommodations, taxis and arranging visas when required.
  • Being a spokesperson and making decisions in the Directors absence.
  • Maintaining the filing system
  • Welcoming and looking after visitors
  • Day to day administration assistance to the Finance and occasionally Legal Departments when needed
  • Completing background research
  • Updating holiday and sickness on Spotlight for the Finance team and keeping a record of holiday and business travel to avoid clashes where possible.
  • Collation and distribution of Board papers
  • Opening and sorting and distributing Director's office, finance and legal departments post.
  • Providing support to the Directors in the absence of the Executive Directors’ PA
  • Assistance with projects
  • Organisation of site tours
  • Liasing with clients, suppliers and other staff
  • Manage month and year end timetables
  • Create daily cheque list
  • Any other duties as deemed appropriate by the Executives and Finance team

Competencies & Qualifications:

  • Previous experience in a finance environment.  
  • Good working knowledge of Microsoft Office products (Excel, Outlook, Powerpoint and Word).
  • Excellent organisational skills.Confident in dealing with telephone queries.
  • Ability to demonstrate a good standard of numeracy and literacy.
  • Ability to work to tight deadlines and prioritise workload.
  • Highly self motivated, proactive, personable team player.

Business Affairs Lawyer

Purpose of role:

  • To support Legal Counsel in providing ongoing strategic legal and risk management services to Pinewood Shepperton plc
  • Assisting Legal Counsel in providing legal support to the Sales, DCS, Property, Operations, Corporate Affairs, Marketing, Human Resources, Health and Safety and Technology departments
  • Assisting Legal Counsel in maintaining standardised group-wide terms and conditions and their integration into work practices.

Key accountabilities:

  • Supporting Legal Counsel in relation to contractual negotiations and other specific ad hoc projects including legal research, drafting, correspondence, administration and liaising with external law firms
  • Negotiating, drafting and ongoing administration of contracts with the Group’s suppliers, customers, international partners and service providers. This will include negotiation of stage, studio, facilities and post production agreements, drafting of confidentiality agreements and review and amendment of supplier terms and conditions
  • Supporting Legal Counsel with potential litigation matters 
  • Legal support to the Finance department relating to debt collection
  • Legal support to the Property department relating to negotiation of leases and property disputes
  • Management of trade mark portfolio and liaising with Pinewood’s trade mark attorneys
  • Providing departmental cover for Legal Counsel during absence  

Key performance measures:

  • Efficient and accurate management of contract negotiations
  • Able to work with minimum supervision
  • Ability to provide assistance to Legal Counsel on larger transactional work including film finance and with complex legal issues

Competencies and qualifications:

  • Qualified solicitor (England & Wales) with strong commercial law background

Group Operations Assistant - SHEPPERTON STUDIOS

Purpose of role:

  • To provide first class customer service.
  • To provide operational support in the main operating office, mail room and front of house reception on a rota system.
  • To welcome, support and help all productions, tenants, couriers and other visitors to the operating office or main reception. 
  • Deal with any enquiries promptly and helpfully and direct any visitors to the relevant departments.
  • Provide refreshments for visitors as required.
  • Support the studio departments when required.
  • Run errands on and off site.
  • Whenever possible, to be the first to answer the Operating Office general telephone and to pick up other extensions when required.
  • Take, record and pass on accurate messages.
  • To be responsible for photocopying and faxing documents and the re filling of paper when required.
  • Collect, file and update cast lists, unit lists and shooting schedules along with updating and distributing studio information.
  • To be responsible for the operating office stationery requirements, the drinks dispenser and the cleanliness of the kitchen facilities.
  • Provide and maintain a studio filing system in conjunction with the line manager.
  • To be responsible for the operational running of the mail room, sorting and franking of post and directing couriers if needed.
  • In line with the studio reception responsibilities, make and distribute studio ID visitor cards and car passes.
  • Supply phone headsets on to on site facilities and label the telephone extensions.
  • When required assist with the furnishing of studio facilities.
  • Complete mobile catering checks and forms when necessary.
  • To offer operational support to the groups other studios when required.
  • To assist the switchboard department in call answering and message taking.
  • Able to work between sites.
  • Any other duties as deemed appropriate by Operations Supervisor or Operations Manager.

Other:

  • Reporting of damage to studio facilities, fixtures and fittings

Commercial Analyst, One year contract

Purpose of role:

  • Production of timely, accurate and relevant business information to include Management accounts, budgets and forecasts and weekly and periodic commercial reports and analysis.
  • Liaise with heads of department to assist in managing departmental budget responsibilities.

Key accountabilities:

  • Accurate and timely production of departmental management accounts including P&L, commentary and supporting schedules and presenting results to operational managers.
  • Production and review of departmental P&L’s incorporating the processing of accruals and prepayments as required.
  • The production of annual budgets and periodic forecasts, in line with agreed timetables, liaising with departmental heads and budget holders.
  • Manage the production of commercial reporting, including flash reporting.
  • Providing support and analysis to the business as required, including providing schedules and reports and attending meetings enabling departmental heads to manage their areas of responsibility.

Key performance measures:

  • Production of a periodic management accounts.
  • Delivery of weekly and periodic commercial reporting.

Group Site Assistant - PINEWOOD STUDIOS

Facilities\Site\Gardens:

  • Responsible for the furnishing of all studio facilities in line with “style guide” expectations.
  • Customer liaison/support.
  • Responsibility for milk floats, hako machine and golf buggies.
  • Responsibility for door/parking signs.
  • Supplying phone handsets to facilities and labelling of phone extensions.
  • Checking of studio facilities before and after use.
  • Assist in the moving of tenant or production companies and any other duties deemed appropriate by line management.
  • Vigilance and general admin, maintenance and security reporting i.e. insecurity of buildings, damage and skip removal.
  • Report on neglected areas.
  • Monitor and maintain a high standard of cleanliness throughout the studio site. 
  • All roads and pathways are to be swept on a daily basis via a studio rota system.
  • Reporting and removal of fly tipping and scrap items left on the studio lot.
  • Emptying of all studio litter bins.
  • Litter collection.
  • Assisting with ad hoc gardening tasks as required.
  • Snow and ice clearance/gritting when required.
  • Monitoring, transporting and emptying of wheelie bins into on site compactor when required.
  • Stage, gantry and workshop cleaning.
  • Able to work betweens sites (Pinewood and Shepperton).

Manual Handling:

  • Studio/customer property.
  • Furnishing facilities/office set up.

Cleaning:

  • Furniture/cupboards/appliances etc.
  • Collect rubbish from offices when appropriate as per customer or studio management request.

Administration:

  • Phone/office cover- give out basic site information and answer simple queries as required, or offer alternative help.
  • Co-ordination and  maintaining of studio furniture  inventory systems.

Other:

  • Report on site problems to the Site Supervisor or Operations team.
  • On and off site errands.
  • Provide first class customer service.
  • Report or solve any issues/requirements.
  • Reporting of damage to studio facilities, fixtures and fittings.

  • Responsible for petrol and battery operated sweeping machines.

TV Engineers

Pinewood Studios group have vacancies in the engineering department responsible for supporting the DCS (Digital Content Services) and TV (Television) departments. Candidates will have a good experience base working in a live studio environment but will also be required to support all aspects of post-production. A willingness to learn and adapt to new experiences are essential.

The positions will be primarily based at Pinewood but travel will be required to Shepperton, Teddington and any site in the Groups remit.

Work Experience Terms

Unfortunately, we cannot offer work experience or placements to students aged 16 and below who have not started studying towards A-Levels (or an equivalent level 3 course).

Work Experience and Shadowing Scheme

Work experience will be offered to students aged 16 years and over who are studying A-Levels (or equivalent), who can demonstrate an understanding of the work carried out by Pinewood Studios Group and the benefits they would gain from taking part in the scheme.

The work experience will be one week in duration, with each day spent in a different department to gain an understanding of how a studio complex is maintained and operated.

Shadowing Scheme

Our new shadowing scheme will be offered from September 2013 and will be available to those studying in the areas listed below. The shadowing scheme will consist of 5 days unpaid direct work with the specific departments requested. Please note: If you have not studied, or are not currently studying related subjects then please do not apply for the Shadowing Scheme.

Work Placement

Placements will be offered from one to six months in duration, and will be based specifically within one department.

Applicants must be studying a degree (or equivalent) relevant to the department they have applied for, and have completed their first year of study.
