Executive Office Support – One year maternity cover contract

Job Description:

Reporting to the Finance Director the purpose of the role is to assist the Finance Team in the smooth day to day running of the Directors office and assist the Finance and Legal departments when required.

Duties will include:

  • Diary management and arrangement of meetings
  • Message taking and screening of phone calls/emails
  • Dealing with incoming general enquiries both by phone and by email
  • Typing of documents, emails, minutes and presentations
  • Making extensive travel arrangements e.g. booking flights, trains, accommodations, taxis and arranging visas when required.
  • Being a spokesperson and making decisions in the Directors absence.
  • Maintaining the filing system
  • Welcoming and looking after visitors
  • Day to day administration assistance to the Finance and occasionally Legal Departments when needed
  • Completing background research
  • Updating holiday and sickness on Spotlight for the Finance team and keeping a record of holiday and business travel to avoid clashes where possible.
  • Collation and distribution of Board papers
  • Opening and sorting and distributing Director's office, finance and legal departments post.
  • Providing support to the Directors in the absence of the Executive Directors’ PA
  • Assistance with projects
  • Organisation of site tours
  • Liaising with clients, suppliers and other staff
  • Manage month and year end timetables
  • Create daily cheque list
  • Any other duties as deemed appropriate by the Executives and Finance team

Competencies & Qualifications:

  • Previous experience in a finance environment.  
  • Good working knowledge of Microsoft Office products (Excel, Outlook, PowerPoint and Word).
  • Excellent organisational skills.
  • Confident in dealing with telephone queries.
  • Ability to demonstrate a good standard of numeracy and literacy.
  • Ability to work to tight deadlines and prioritise workload.
  • Highly self-motivated, proactive, personable team player.

Person Specification:

  • Personality: Enthusiastic, self-driven, results-oriented with a positive outlook, and a clear focus on high quality and revenue generation. A natural forward planner who critically assesses own performance. Reliable, tolerant, and determined.  Empathic communicator, able to see things from the other person's point of view.  Well presented and business-like. Keen for new experience, responsibility and accountability.  Able to get on with others and be a team player. Used to working with confidential/sensitive information.
  • Personal Situation: Able to commute reliably to office base. Able to work extended hours on occasions when required. Able to attend occasional meetings offsite and at other company sites.
  • Specific Job Skills: Able to communicate via various media. Understands the value technology injection can add to business units and corporate objectives. Excellent organisational skills.
  • Computer skills: Must be adept in use of MS Office 2000 or later, particularly Outlook, PowerPoint, Excel and Word, Internet and email
  • Literacy and Numeracy: Must be highly numerate in order to deliver. 
  • Business Skills: Must be an excellent face-to-face and telephone communicator.

Group Supply Chain Manager

Job Description:

Reporting to the Finance Director the purpose of the role is to impact the overall success of the Group by implementing and monitoring cost control measures and gaining advantages through building solid relationships and partnerships with internal and external functions. The candidate will work to understand the goals of internal functions to help improve efficiency and develop better processes to ensure strategic goal are met. Maintaining customer satisfaction is the ultimate goal.

Duties will include:

  • People Management
  • Strategic
    • On-going spend analysis and setting strategy
    • Maximizing value for money year on year
    • Owner of; Contract database, Payment terms database; Supplier database (current and potential)
    • Supplier development (working with existing suppliers to reduce cost through supply chain initiatives and collaborative working)
    • Supplier Induction and Audits
    • Stakeholder – asset register (to avoid duplicate spend)
    • Benchmarking (within Group, cross Group, Industry)
    • Creation, delivery and governance of procurement strategy
    • Assisting with budget setting
  • Capital/Revenue Spend
    • Involvement in specification creation (cross function)
    • Support vendor selection
    • Lead negotiations
    • T&Cs (penalties etc.)
    • Price
    • TCM (Total Cost Model)
    • Payment terms
    • Business case development/signoff
  • Training & Development

Objectives/Measure of success:

  • Year on year cost reduction (>3X salary)
  • Number of suppliers within each payment term increased

Competencies & Qualifications:

  • Experienced purchasing professional with people management experience
  • Aptitude to challenge business decisions and come up with new suggestions and concepts.
  • Drive to constantly improve operational performance and sees procurement as a lever for change.
  • Strong Interpersonal skills and a wide range of communication techniques.
  • Expertise to benchmark, understand best practise, collating and analysing information on suppliers, competitors and service/product innovations in order to inform strategy and negotiations.
  • Capability to promote alternative solutions through design and implementation of new concepts to the business.
  • Intelligent, credible, energetic, creative and strategic. Structured in approach, influential with strong analytical and negotiating skills

Work Experience Terms

Unfortunately, we cannot offer work experience or placements to students aged 16 and below who have not started studying towards A-Levels (or an equivalent level 3 course).

Work Experience and Shadowing Scheme

Work experience will be offered to students aged 16 years and over who are studying A-Levels (or equivalent), who can demonstrate an understanding of the work carried out by Pinewood Studios Group and the benefits they would gain from taking part in the scheme.

The work experience will be one week in duration, with each day spent in a different department to gain an understanding of how a studio complex is maintained and operated.

Shadowing Scheme

Our new shadowing scheme will be offered from September 2013 and will be available to those studying in the areas listed below. The shadowing scheme will consist of 5 days unpaid direct work with the specific departments requested. Please note: If you have not studied, or are not currently studying related subjects then please do not apply for the Shadowing Scheme.

Work Placement

Placements will be offered from one to six months in duration, and will be based specifically within one department.

Applicants must be studying a degree (or equivalent) relevant to the department they have applied for, and have completed their first year of study.
